This Privacy Policy describes how Reins ("we", "us", or "our") collects, uses, and protects your personal information when you use the Reins equestrian coaching platform. We are committed to ensuring your privacy is protected and your data is handled responsibly in accordance with applicable laws, including the Google API Services User Data Policy.

Information We Collect

We may collect the following types of information:

  • Personal identification information (name, email address)
  • Account credentials and authentication data
  • Equestrian profile information (rider experience, horse details, discipline)
  • Video content uploaded for AI analysis
  • Usage data and analytics
  • Device and browser information

Google User Data & OAuth

Reins uses Google OAuth solely to authenticate users. The following describes exactly how we interact with Google user data in compliance with the Google API Services User Data Policy.

Data Accessed

When you sign in with Google, Reins requests only the minimum necessary scopes:

  • email — your Google account email address, used as your unique account identifier
  • profile — your basic profile information (name and profile photo), used to personalize your Reins account
  • openid — standard OpenID Connect identifier for secure authentication

We do not request access to Gmail, Google Drive, Google Calendar, Google Contacts, or any other Google product data.

Data Usage

Google user data obtained via OAuth is used exclusively to:

  • Authenticate you securely to your Reins account
  • Pre-populate your display name and profile photo within the platform
  • Associate your training data (riders, horses, analyses, schedules) with your account

We do not use Google user data for advertising, profiling, or any purpose unrelated to providing the Reins service.

Data Sharing

We do not sell, rent, or share Google user data with third parties, except in the following strictly limited circumstances:

  • Infrastructure providers: Our platform is hosted on Base44 (base44.com), which provides secure cloud infrastructure for data storage and authentication. Base44 processes data solely to deliver the service and does not use it independently.
  • AI processing: Video content you upload for analysis is sent to Google Gemini and/or OpenAI APIs solely to generate coaching insights. Your email or profile data is never included in these requests.
  • Legal requirements: We may disclose data when required by law, court order, or to protect the rights and safety of our users.

Google user data is never transferred to data brokers, advertisers, or analytics companies.

Data Storage & Protection

Your account data, including Google profile information, is stored securely on the Base44 platform using industry-standard encryption at rest and in transit (TLS/HTTPS). Access is restricted to authenticated users only. We implement access controls, regular security reviews, and follow security best practices to prevent unauthorized access, disclosure, or modification of your data.

Data Retention & Deletion

We retain your Google-sourced profile data (name, email) for as long as your Reins account is active. If you delete your account or request data deletion:

  • Your account and all associated profile data will be permanently deleted within 30 days
  • Uploaded video files used for analysis will be deleted upon account closure
  • Training records (analyses, horses, riders) will be permanently removed

To request deletion of your data, use the feedback form within the app or email us directly. We will confirm deletion within 30 days.

Limited Use Disclosure

Reins's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We only use Google data to provide or improve user-facing features of the Reins application
  • We do not use Google data for serving ads
  • We do not allow humans to read Google user data unless the user explicitly requests it, it is necessary for security, or required by law
  • We do not transfer Google data to third parties except as described in this policy

How We Use Your Information

We use collected information to:

  • Provide, maintain, and improve our services
  • Process your video analyses and generate AI coaching insights
  • Manage your account and send account-related communications
  • Personalize your experience
  • Monitor and analyze service usage and performance
  • Comply with legal obligations

Data Security

We implement industry-standard security measures to protect your data from unauthorized access, alteration, disclosure, or destruction. All data is transmitted over HTTPS. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Data Retention

We retain your personal information for as long as your account is active or as necessary to provide our services. You may request deletion of your data at any time by contacting us through the feedback form in the app. We will process deletion requests within 30 days, subject to any legal retention requirements.

Sharing Your Information

We do not sell your personal information to third parties. We may share information only with:

  • Infrastructure and hosting providers necessary to operate the platform
  • AI service providers (Google Gemini, OpenAI) solely for video analysis processing
  • Other users you explicitly share content with within the platform
  • Legal authorities when required by law

Your Rights

You have the right to:

  • Access your personal information
  • Correct inaccurate data
  • Request deletion of your data and account
  • Opt out of certain communications
  • Revoke Google OAuth access at any time via your Google Account permissions

Cookies

We use cookies and similar technologies solely for session management and authentication. We do not use third-party advertising cookies.

We may update this privacy policy from time to time. We will notify you of significant changes via email or through the platform. Continued use of Reins after changes constitutes acceptance of the updated policy.
